What Should Be Included in a Commercial Cleaning Contract?

A commercial cleaning contract should do more than state a monthly price. It should define what will be cleaned, how often work will occur, who supplies materials, how quality concerns are handled, and what each party is responsible for. Clear expectations reduce confusion and make it easier to evaluate performance.

Facility areas and service boundaries

The agreement should identify the locations covered, including offices, common areas, restrooms, breakrooms, entrances, conference rooms, production support areas, or other approved spaces. Areas that are excluded should also be clear so neither party assumes work is included when it is not.

Task list and cleaning frequency

A strong scope separates tasks by frequency. Some work may occur every visit, while dusting, detail cleaning, interior glass, floor care, or other services may occur weekly, monthly, or as requested. The schedule should reflect traffic and building use rather than copying a generic checklist.

Supplies, equipment, and consumables

The contract should explain who provides cleaning chemicals, tools, liners, paper products, soap, and other consumables. Cleaning supplies and restroom consumables are not always treated the same way. Clarifying this before service begins prevents unexpected charges and shortages.

Access and security procedures

Document approved service hours, keys, alarm instructions, restricted areas, and the process for reporting access problems. The customer should identify any spaces requiring special authorization. The cleaning company should explain how access information is controlled.

Quality control and communication

The agreement should include a contact path for service concerns and describe how corrections are managed. Customers benefit from knowing who supervises the account, how inspections are performed, and how quickly issues will be acknowledged.

Pricing, additional work, and cancellation terms

The contract should state recurring pricing, payment timing, and how work outside the normal scope is approved. It should also explain renewal, cancellation, and notice requirements. Never assume special projects such as floor restoration or post-construction cleaning are included unless they are written into the scope.
